The HR & IT Chatbot is an AI-powered assistant designed to provide employees with fast, reliable answers to common internal questions—whether submitted via text or voice message. Supporting both WhatsApp and Telegram, this chatbot enhances employee experience by enabling convenient, on-the-go access to HR and IT information. Through AI-driven transcription and retrieval-based search, it delivers accurate responses drawn directly from internal company documentation.

Step-by-Step Process:

  1. Message Capture
    When an employee sends a question through WhatsApp or Telegram, the chatbot captures the input—whether it's typed text or a recorded voice message—for immediate processing.
  2. Audio Transcription
    If the message is audio, the chatbot uses an AI-powered transcription engine (such as Whisper or Google Cloud Speech-to-Text) to convert the spoken message into written text, ensuring voice input is treated the same as typed queries.
  3. Query Processing
    The resulting text is transformed into semantic embeddings using a language model (e.g., OpenAI) and matched against a vector database (such as Supabase or Qdrant) that contains the organization’s internal HR and IT documentation. The most relevant information is retrieved and passed back to the AI to generate a clear, human-readable response.
  4. Response Delivery
    The final response is returned to the employee via the same channel—WhatsApp or Telegram—whether the original question was sent via text or voice. The chatbot maintains a consistent, helpful tone in all replies.
